Start with permission, before sorting
This planning checklist is for the person coordinating the physical apartment handoff. New York Courts explains that estate proceedings are handled in Surrogate’s Court. Ask estate counsel to confirm who can authorize access, handling and distribution in this estate before anyone removes belongings. A family relationship or possession of keys does not settle every authority question. Do not enter a sealed or restricted apartment on the strength of a cleanout appointment.
Protect records without circulating private details
Once access and handling are authorized, identify documents, keys, personal devices, photographs and possible valuables for the representative to review. Mark unresolved items hold rather than assigning them to disposal. Keep records and sensitive images in the estate’s secure files. A quote request needs a practical inventory and access description, not bank statements, identification documents, passwords or copies of a will.
Build a decision sheet with a hold category
Give each item or clearly labeled group an ID. Record its room, description, photo reference, proposed destination, approving person, approval date and current status. Use hold, approved for a named destination, and completed. Example: chair C-04, bedroom, hold pending representative review; boxes B-01 to B-03, approved for a named storage destination. These examples show a format, not instructions for distributing an estate. Do not treat an empty destination field as disposal permission.
Create an estate item and destination ledgerAsk management for one written access brief
Record the service entrance, floor, stairs, elevator dimensions, permitted hours, booking contact, COI requirements and protective coverings. Ask who confirms approval and whether staff or deposits are required. Requirements vary by building. Reserve access only after the relevant provider is accepted; an elevator request and a confirmed reservation are different things. Get destination-building or storage access details too.
Prepare the building’s COI questionsSequence the work by decisions, not a universal timeline
First resolve authority and access. Then record the inventory and holds. Next confirm recipients and destinations, obtain a written scope, and secure the building window. Before loading, reconcile the approved list with the room labels. If a recipient declines a donation or a family destination changes, pause that item for a new instruction. Do not promise a broker, painter or buyer an empty apartment before these dependencies and provider availability are confirmed.
Give the provider a usable scope request
Send the approved furniture and box list, requested destinations, carrying route, proposed windows and local access contact. Ask what packing, dismantling, sweeping, photos and receipts are included and how additions are priced and approved. Ask separately about delicate items, off-site shipping or storage. NYC Moving Pros provides planning and an independent partner introduction; it does not determine probate authority, appraise property or guarantee donation acceptance.
Review the estate cleanout scope and limitationsClose the item list before closing the apartment
Compare each completed item with its approved destination and retain available delivery or disposal documentation. List remaining holds and exceptions explicitly; an item that could not be accepted is still unresolved. Take agreed room-condition photos without exposing private records. Arrange the building’s inspection and key-return receipt separately, and ask counsel or management how ongoing obligations are handled. A cleanout receipt alone does not end a lease, maintenance charges or estate administration.
Request a review of the approved cleanout scopeHow to use this checklist
Prepared by NYC Moving Pros as a practical inventory, access and handoff workflow. The official court resources below were checked on October 13, 2026 for the authority distinction; the operational checklist is planning guidance, not case-specific legal or tax advice. For a New York County small estate, the court explains that certificates are issued for listed assets or tasks. Ask counsel or the relevant court which authority applies instead of assuming one document covers every action.
