For landlords and property managers preparing a vacant unit for the next trade, a useful cleanout request separates authorized removal from belongings that must stay. NYC Moving Pros is a referral and planning service. Share the unit inventory, access constraints and approved disposition plan for one independent partner to review. Confirm the partner's scope, credentials, written estimate and availability before booking; a request does not reserve a crew.

Confirm what may leave

Name the person authorized to approve the work. Keep disputed or unapproved belongings out of the removal scope. Where tenancy or ownership is unresolved, obtain case-specific instructions from counsel and, where applicable, the marshal before arranging physical work. A cleanout request is not an eviction service.

Walk the entire carrying route

Record the floor, stairs, elevator dimensions, narrow turns, service entrance and loading location. Ask management about COI wording, elevator booking, permitted hours, protective coverings and any staffing charges. A truck arrival time alone does not establish building access.

Agree on the finish

List approved furniture and loose items, any dismantling, destinations and items to remain. Define whether sweeping, photos and receipts are included. Painting, repairs, deep cleaning, pest treatment and hazardous-material work need separate confirmation; do not assume they are part of a furniture cleanout.

Prepare one approved work order

  1. Before requesting: confirm authority to arrange work, identify items to hold, and record the unit, inventory and desired handoff date. Keep tenant records and legal documents out of the quote form.
  2. Before booking: share building access rules and ask the partner to confirm removal categories, destinations, exclusions, charges and change approvals in writing.
  3. Before loading: walk the approved list with the on-site contact. If an unlisted item, unsafe condition or disputed instruction appears, pause that part of the job for approval.
  4. At handoff: compare completed work with the list, note anything left behind, and confirm whether the unit is ready for the next trade. Keep closeout records in your property system.

For example, a sofa approved for removal and a cabinet awaiting an ownership decision belong on separate lists. Label the cabinet as a hold item; do not describe the request as “empty the apartment.”

Request a turnover scope review

The landlord's library:

For repeat vacancies, use the property-manager planning page to describe the portfolio workflow. This page scopes a single unit; a building-wide resident program has a separate intake.

After removal, record exceptions with the turnover closeout packet.

Common questions

What determines the cleanout estimate?

Volume, item size, dismantling, stairs, carrying distance, access windows, sorting, destinations and special handling affect scope. Send an item list and non-sensitive room photos when requested. Ask for a written estimate identifying exclusions and how changes are approved. We do not publish a fixed per-unit price.

Can I request just a few pieces of furniture?

Yes. Describe the approved items individually and mark what must stay. A partial removal needs the same access and authorization checks as a full-unit request. The partner must confirm whether it can accept the job.

What if the tenant left belongings behind?

Do not treat an empty-looking unit or returned keys as automatic permission to discard everything. Ask counsel to confirm your authority, any notice or storage steps and the items approved for removal. We cannot decide ownership or provide legal clearance.

Can you meet the painter's start date?

Include that dependency and the building's available access windows. The partner must confirm duration and availability after reviewing scope. Keep the next trade's start conditional until removal and any remaining exceptions are checked; no completion date is guaranteed by this request.

Are donation, storage and receipts included?

List each as a request and obtain written confirmation. Donation depends on recipient acceptance; storage requires an agreed destination and terms. Ask who supplies disposal or donation documentation. Neither donation acceptance nor a tax benefit is promised.
